Position Overview

Ultimate Staffing is actively seeking a dedicated and detail-oriented Administrative Support Specialist to join a dynamic team in California. This role requires an individual who excels in organization and professionalism while managing a wide array of administrative tasks. The Administrative Support Specialist will play a crucial role in ensuring smooth operations and providing essential support to the team.

Responsibilities

  • Managing schedules, calendars, and appointments.
  • Handling incoming and outgoing correspondence, including phone calls, emails, and mail.
  • Preparing, editing, and proofreading documents, reports, and presentations.
  • Maintaining and organizing physical and electronic filing systems and databases.
  • Assisting with event planning and coordination.
  • Ordering and maintaining office supplies and equipment.
  • Performing basic bookkeeping tasks, such as processing expense reports or invoices.
  • Assisting with special projects, research, and data analysis.
  • Potentially acting as a lead for other administrative staff and coordinating workflow.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • Proven administrative or assistant experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational, time management, and multitasking abilities.
  • Excellent written and verbal communication and interpersonal skills.
  • Attention to detail and accuracy.
  • Ability to handle confidential information responsibly.
  • Adaptability and ability to thrive in a fast-paced environment.

Preferred Qualifications

  • Ability to pass basic Word, Excel, and typing assessments.
  • Minimum typing speed: 40 WPM.

Required Work Hours

Monday to Friday, first shift.
